PAY PROCEDURES

Pay Schedule and Paydays

Bristol Community College employees are paid bi-weekly and all employees should have direct deposit. Direct deposits will be posted to employees’ accounts on Fridays of each pay period. Each paycheck will include earnings for all work performed through the end of the previous two-week payroll period which begins on Sunday and ends on Saturday. Adjunct Faculty are paid bi-weekly (7) pay periods.

Employees who are employed by more than one college or agency within the Commonwealth of Massachusetts shall receive only one check for all of their pay from their multiple appointing authorities. This system allows the Commonwealth to make singular electronic payments and issue one W-2 at the end of the tax year to employees who perform services at two or more agencies or high education institutions.

Mandatory Pay Deductions

The law requires Bristol Community College to make certain deductions from each employee’s paycheck, including withholding for Federal and State income taxes. These deductions are made in accordance with an employee’s Federal Employee's Withholding Allowance Certificate (Form W-4) and Massachusetts Employee’s Withholding Exemption Certificate (Form M-4) on file in the Payroll Office.  Employees may file a new form at any time.

The Commonwealth of Massachusetts does not participate in the Federal Social Security Program. Therefore, no contributions are made to that program on behalf of employees. Instead, the Commonwealth makes deductions for a pension plan that is mandatory for all state employees. Under federal law, all state employees hired after March 31, 1986 are required to have taxes deducted from their paychecks to contribute to the Medicare system.

Voluntary Pay Deductions

Other deductions permitted for eligible employees include U.S. Savings Bonds, union memberships, credit union, savings plan, United Way, and tax deferred annuities. Questions concerning voluntary payroll deductions should be directed to the Payroll Office.

Direct Deposit

The HR/CMS (Payroll and HR system) allows up to 10 direct deposit accounts (checking, savings, passbooks) for an employee's net pay.  All employees will have access within Employee Self-Service that will allow the ability to view, add, update, and/or delete direct deposit information. Employees that utilize the Employee Self-Service to change direct deposit information are responsible for the accuracy of the data entered and the timing of the change. Timing of direct deposit changes may impact the employee’s next pay advice. Direct Deposit account changes made the Wednesday before pay day through the following Wednesday before 6:00 pm, will take effect in your next pay advice. Changes on other days may result in a paper check being sent rather than a direct deposit. Contact the Payroll Office with inquiries.

Empower Retirement (OBRA)

Most part-time non-benefited positions at Bristol Community College require employees to participate in the Commonwealth of Massachusetts Empower Retirement (OBRA) retirement plan. Voluntary retirement plans are available to part-time non-benefited employees, as well as, the state’s Commonwealth Choice medical plan options.

Time Reporting

All employees are expected to keep an accurate record of time worked. Employees are required to contact their supervisors for any unexpected absences.

Division Attendance Sheets are submitted to Human Resources weekly for Faculty.

Self-Service Time and Attendance (SSTA) is the module the Commonwealth of Massachusetts uses for employees in the following position classifications to report their work time: Non-Unit Professional, Unit Professional and Classified Clerical, Facilities, Security. An employee enters and submits his/her time each week into Self-Service Time and Attendance for the respective manager or supervisor to review and approve the reported time. To reset a forgotten password, contact Office of Human Resources or Payroll Office.

In addition to entering hours worked in SSTA, all part-time employees (except Adjunct Faculty) are required to report their time worked each week on paper timesheets.  The paper timesheets that are signed by the employee and the supervisor are due in the Payroll Office weekly. 

Online Payroll Remittance Advice

Payroll Remittance Advices are not distributed to employees because employees are able to securely access their payroll remittance advice 24/7 through the internet and to save the environment, money, and time in both printing and distribution. A current payroll remittance advice may be viewed online the Thursday before a Friday pay date and has the same information found on a paper payroll remittance advice except for bank account routing numbers.

All employees can access payroll remittance advice and W-2 information in the Pay Info system at https://payinfo.state.ma.us/payinfo/Login.asp. For instructions on password or password reset, employees should contact the Payroll Office.

Employees that enter their time into SSTA may securely view and/or print current or prior paychecks as well as W-2 and W-2c forms.
